Policies and Procedures

Welcome! To ensure the smooth operation of our studio and to provide an exceptional experience for all members, please review and adhere to the following policies and procedures.

1. Attire

  • Workout Attire: Members are required to wear appropriate athletic clothing and supportive footwear during all training sessions.

  • Footwear: Only clean workout shoes are permitted on the gym floor. Outdoor footwear is prohibited to maintain hygiene and safety standards.

  • Personal Hygiene: Members must maintain personal hygiene. Each member should bring a personal towel and water bottle.

2. Illness and Health

  • Health Precautions: Members who are unwell or exhibiting symptoms of illness (e.g., fever, cough) must refrain from attending sessions. The health and safety of all members is a priority.

  • Notification of Illness: In the event of illness, members are required to notify the studio as soon as possible. We will make reasonable efforts to reschedule or adjust sessions.

3. Payment and Billing

  • Payment Schedule: Payments for services are due at the end of each month. Members will receive an invoice via email, and payment is expected within 5 days of receipt. Instructions for electronic payments will be included with invoices.

  • Late Fees: A late fee of $25 will be assessed for payments received more than 7 days past the due date.

4. Account Cancellation and Nonpayment

  • Cancellation Policy: Requests to cancel membership or training sessions must be submitted in writing with a minimum of 14 days’ notice. All outstanding balances must be settled before cancellation is processed.

  • Nonpayment: Accounts with overdue balances exceeding 30 days will be suspended until payment is made. Accounts with overdue balances exceeding 60 days may be canceled and subject to collection actions.

5. Session Rescheduling and Cancellation

  • Rescheduling: Members must provide at least 24 hours’ notice to reschedule a private training session. Rescheduling is subject to availability within the same week.

  • Late Cancellations: Cancellations for private training made less than 12 hours before a scheduled session will incur a cancellation fee equivalent to 100% of the session cost. Cancellations for group training made after 12PM on the day of the session will incur a cancellation fee equivalent to 100% of the session cost.

6. Emergency Procedures

  • Emergency Contacts: Members must ensure that their emergency contact information is current in their account profile.

  • Emergency Protocol: Members should familiarize themselves with facility exits and procedures for fire or other emergencies.

7. Client Feedback

  • Feedback Submission: Members are encouraged to provide feedback to improve our services. Comments and suggestions can be submitted via the feedback form or directly to staff.

  • Complaint Resolution: Any complaints or concerns should be addressed to management directly. We are committed to resolving issues promptly and professionally.

8. Health and Safety

  • Medical Disclosure: Members must disclose any medical conditions, injuries, or special needs prior to starting sessions. This information ensures safe and tailored workouts.

  • Injury Reporting: Any injuries or accidents must be reported immediately to the trainer or staff for appropriate action and care.

9. Privacy and Confidentiality

  • Confidentiality: We respect and protect the confidentiality of all personal and health information. Such information will not be shared without explicit consent.

  • Data Protection: We adhere to data protection laws and implement measures to safeguard personal information.

10. Studio Policies Review

  • Policy Updates: These policies are subject to periodic updates. Members will be notified of changes, and the most current version will be available on our website or at the studio.

11. Acknowledgment

  • Acknowledgment: By participating in training sessions at the South Park Barbell Club, you acknowledge that you have read, understood, and agree to abide by these policies and procedures.
